We are looking for passionate and caring administrative/care coordinator in home care and support service to join our kind and compassionate team in the City of Edinburgh and Midlothian
Successful candidate after selection induction and training: Your key responsibility, tasks and duties includes:
• Answering questions about the company by phone or email.
• Taking inventory and ordering office supplies.
• Greeting visitors at the reception area.
• Scheduling meetings and taking minutes of the meeting.
• Updating computer records.
• Maintaining office correspondences.
• Printing and photocopying paperwork.
• Manage staff files and details, managing documentation on SharePoint.
• Manage all recruitment files, details, and paperwork.
• Maintain confidentiality.
• Work within Almond Blossom Care’s policies and procedures.
• Attending training on a regular basis to ensure that all mandatory and personal training and development needs are met in line with company requirements.
• Attending monthly staff meetings.
• Go to the field to provide direct care and support to clients as per when required.
Experience of IT skill is essential and mandatory, candidates must have good communication and interpersonal skills, have a positive attitude with people and most especially the elderly. Full induction and training on housing support and care at home for the elderly will be given before you commence working in the role.
On rotation your working days are Monday to Friday, you must be flexible to work all shift pattern including weekends and bank holidays when required. Your normal office hour of work will be 172 hours per month plus additional hours as agreed.
Annual salary: £23,478.00 you may be required to occasionally work in the field providing direct care as well as working in the office. You are not required to work in the office on the same day you work in the field.
You must have a valid visa with permission to work in the United Kingdom if Successful applicants will be required to go through the Enhanced Disclosure Scotland check. The job is dependent on suitable references.

SUMMARY OF ROLE
To co-ordinate, deliver and to maintain a care at home and support services in a professional, efficient, and effective manner, to enable Almond Blossom Care Service Users to live in their own homes with respect, dignity, and independence, by adopting a person-centred approach.
RESPONSIBILITIES, DUTIES & TASKS
Managing and maintaining day to day and future service delivery rota to ensure all calls are covered with an appropriate carer, considering the varying needs of Service Users and availability of staff. Liaise with Supervisors, Team Leaders and Managers to ensure any staffing shortages and absences are covered and fluctuations to care and support packages reflect the changing needs of the Service Users. Be prepared to carry out direct care and support to clients when required or in the event of a crisis.
Responsible for ensuring that office protocols are adhered to, and records kept up to date according to legislative requirements.
• Lead and influence office and operational shift team, reinforcing a positive working environment, recognising potential and maximising opportunities for development.
• Stabilise teams when they are faced with the inevitable pressures of service delivery.
• Work within a team to compile and deliver the Rota system to maintain the efficient and effective use of the care staff ensuring the continuity of service delivery.
• Ensuring all calls are covered in line with Service User needs and availability of staff.
• Ensuring the rota is compliant with health and safety and employment legislation regarding each care packages and working time directives for each carer/staff.
• Monitor service delivery daily to ensure compliance and report/follow-up any findings in line with best practice.
• To be the first point of contact for Service Users regarding ongoing service delivery, Supervisors, Team Leaders, and care staff.
• To give informative and appropriate feedback to Managers, Team Leaders and Care and Support staff.
• Attend Service User Reviews as requested by Care Manager/Registered Manager.
• To ensure Office Admin Procedures are fully complied with by office staff.
• Conduct and report your findings on the initial investigation of any complaints or critical incidents received in relation to any care services delivered for the Registered Manager to action, according to Company procedures.
• Undertake regular Continual Professional Development ensuring you keep abreast of legislation, policy, and best practice.
• To undertake the duties of the On Call in either a rota with other team members, or as and when to meet the needs of the business (covering holiday or absence for example)
